8/10/2010 – EC Meeting
Officers Present: Phil Watson, Andy Dunn, Adam Rhode, Stevie

Sponsorship:

Boarders was interested in becoming an FDA sponser. It was voted by EC
members that this may be interfering with current sponsors and that we
would not use them for sponsors.
FDA Cards:
- Phil
encouraged working on getting the new cards printed and passed out to
members at latest by the Christmas Party, make sure the sponsors are
updated on the cards along with exactly what the discount is at the sponsor
to avoid any confusion when the member tries to use the card about. Rhode
is in charge of this.
Summer League:

Casey thanked the EC for their help. We will hope to increase the number of teams for next
year. For the league shirts, suggested that we pick permanent league colors to
avoid confusion of two colors looking alike.

Next year, start summer league earlier in the
year in order to avoid conflicting with the soccer schedule and losing fields

This yearÕs party is at Hog House, two pasta
dishes (1 meat, 1 veggie) will be served with bread and a keg of beer
Pipe Line
- Has to
be moved by Sept 1. Phil raised possibility of storing at Osage Creek. He
will speak with them about the details and we arrange a day where we could
get help moving the pipe from the ultimate community by offering
dinner/beer, etc.
ADA:
- Phil
proposed that next year mens ADA be moved to White River. They have two
fields and lights so it could get started later and not be so hot.
Fall League
- Will
not happen this year, but something to work on for future. Idea suggested
that we just make winter league longer, expand to 16 weeks? Discuss this
with Casey to see his opinion, how we would format, etc.
Osage Creek
- Greg
Smith (479-435-2469, logannursey@gardener.com)
owns land that that is he developing, located 22 miles from Dickson (by
Tontitown). Phil is working with him so that we could use some of the land
for ultimate fields. There is plenty of room to accommodate Harvest and
even expand it. It is due to be completed by spring 2011, has been
approved by city planning. Phil will go out on Thursday to further explore
and try to work out terms, set time line.
Christmas Party
- Discussed
possibility of having this at MojoÕs. Rhode will talk to April about their
contact and speak with them about what they could offer. Budget set to
~$1000.
- Make
sure that an announcement about the Toy Drive is put in the next FDA
newsletter! Was not well publicized last year.
- (Note:
after meeting was adjourned, spoke with manager at TiamoÕs and they
suggested we could use their facility when they are closed on a Sunday.
Have pasta buffet/beers. Speak with Rhode about holding off on Mojos.)
Winter League
- Discuss
with Casey about making league longer. Try to find sponsor for winter
league, mojos? Rhode looking into this sponsorship.
Harvest Moon
- Party
confirmed for GeorgeÕs, 1000$, Ben Miller Band performing, try to get an opening band and DJ. We can only
have one band past 1am (patio closed for bands due to noise); decide who
we want to have. Can maybe have acoustic on back patio?
- Beer
can be provided by GeorgeÕs but could also be brought in by Hoghaus in
order to get brewed beer, owner Brian approved this. Stevie will speak
with Karl about how much beer to have, look at budget, etc.
- City fields
are reserved, Phil is going to speak with Boys and Girls Club about
reserving (cld only have after 4pm) and what the charge wld be if we did
not use them. Marshalltown can be used, 3 fields there. White River fields
are probably not usable, but may be able to get one field. This is the last
year we can use Asbell! Hopefully Osage Creek will work out so Harvest can
be relocated there. City will line Lewis fields.
- Marshall
Town needs to be mowed! PhilÕs dad has a lawnmower. Can likely do in late
October.
- Food
served at Marshalltown. Make sure entire area is clean! Last year owner
concerned b/c we did not clean the facilities enough.
- Friday
Night preparty at Hoghaus, second floor.
- Saturday
Food: Plan to have Hoghaus cater the dinner, Stevie will check budget and
consider having breakfast served by Common Grounds. We raised the
tournament fee by 25$ already this year, make higher for breakfast?
- Housing:
Phil is looking into reserving rooms at the Clarion Inn.
- MC for
Harvest party-Stevie looking into.
- Harvest
Design: Phil will send Stevie info about the teacher he spoke with in
March to try to get an art project going at the school for a design.
Stevie will follow up with the teacher and try to get due date by mid
September. Need to have Disccraft order in by Sept 18.
New Business
YCC:
- High
school mixed team going to youth club championships in Blaine, MN on
8/14-15. They are asking for a donation in order to help with tournament
cost. Breakdown of their expenses sent by Tim Caffrey:
$570 Entry Fee (19 players, $30 each)
$780 Hotel (4 rooms, 3 nights, 12 room-nights, does Not
include tax)
$640 Gas for 4 cars, 700 miles, estimated
$996 Jerseys
- EC
voted to give the team $1000 to help with their expenses.
Grand Masters
Tournament
- Phil
likes the idea of having one, he will try to speak with Grand Master
players and see if they feel itÕs a good idea.
