FDA Executive Committee Meeting Minutes 12/15/02 @ Common Grounds In Attendance: Wendy Magness, President Amy Partak, Vice-President/Secretary Scott Letts, Treasurer Beth Claggett, Public Relations John Bailey, Tournament Coordinator I. Winter League 2003: A. Begin Date: Sunday 1/19/03 B. Tournament Date: Saturday 2/22/03 C. Location to be determined by Amy Partak (VP) Options: 1) Kawneer Fields, Springdale, contact person Bill Rogers w/ Springdale Chamber of Commerce 872-2222 (park @ South entrance NOT at Kawneer) D. Party to be held at George's. John Bailey (TC) will phone George's and book band. E. T-shirt design needs to be given to Scott Letts (T) on or before 1/5/03. Scott will e-mail all FDA members informing them ASAP. *** misc. info. *Date of draft to be set by John Bailey. He will contact all captains. Captains to determine time of play at weekly games as well as time of tournament play. *Players need to bring $25.00 to league ASSAP for FDA and city dues. Money to be given to Scott Letts. *ALL CAPTAINS need to get phone numbers, addresses, and e-mail addresses of team members to Beth Claggett so a new phone list can be compiled. II. Wendy (P) to make copies of officer duties for next meeting III. Beth Claggett (PR) will get minutes of last 2002 FDA meting to Scott Letts so ... IV. .... Wendy (P) and Scott (T) can switch FDA bank account to their names. V. Domain costs for website: Scott (T) will contact Ben Welch-Bolen as he may be able to provide the FDA with site for free. VI. Tractor Loan: Some money was taken out of checking account in 2002 and placed into savings account as collateral for the tractor loan. FDA needs to pay off this loan. VII. FDA still owes U of A college team &400.00 as the UA will match any money raised by the team for annual expenses (and this alleviates FDA renting the fields and paying UA instead of team) Scott Letts (T) to talk to Daniel Marsh of college team to investigate this issue. *** College women's team still owes FDA for Harvest; can FDA deduct this money from the $700.00??? VIII. Practice Fields: *White River fields secured to the end of April 2003 *FDA needs to contact Lindsay Waxler @ 575-8369 (Fayetteville Parks & Rec. contact person) ASAP to secure Asbell fields for summer league. Amy Partak (VP) to meet with Lindsay soon to discuss this. Amy also to discuss w/Lindsay location for summer practice and location for Dan Gabor. Lindsay has stated to Amy that Lewis Complex might be take back by UA so they can build student housing; this means FDA may need to find new site for Dan Gabor. IX. Adopt-a-Park Walker Park: Contact person: Lisa Pascal (maiden name) 444-3467 *FDA is responsible for three separate project each year. Amy (VP) to phone Lisa about whether or not FDA needs to send a formal letter to inform the city of change in officers and contact person. Lisa will usually phone FDA with projects as they arise. In 2002, projects included: 1) tree planting in March 2002, 2) trash pick-up in April 2002, and 3) mulching of trees in November 2002. X. Art Show @ Arsaga's is the month of April. *Beth will put this in the newsletter. *At next meeting we will decide 1) who will accept and keep art from members until 4/1, 2) who will hang the art on 4/1, and 3) who will take down any remaining art on 4/30 and collect money received. *All art from donors needs to be received no later than Friday, March 21st. XI. Beth cannot report any FDA related information to the newspaper due to conflict of interest. Wendy (P) will be the liaison in Beth's place. Also, John Bitler will sit in for Beth in case of her absence. XII. Newsletter *Officers need to have material to Beth by next meeting. E-mail or hand-write it. *Beth to send in material for publishing by January 10th. XIII. *Next meeting to be held at West Mountain Brew Pub on 1/5/03 @ 2:30pm. *Executive committee will meet at least once monthly. *Need to decide date for next newsletter. *Need to discuss Springfest???? *Discuss placing membership forms at various businesses around town.
