Fayetteville Disc Association Executive Committee Meeting March 7, 2000 Officers will be referred to by their initials in these minutes: President, Kellie Rollins – KR Vice-Pres., Jeff Fowlkes – JF Financial Officer, Amy Eversole – AE Public Relations, Tony Porter – TP Tournament Director, Joy Endicott – JE 7:40pm – all members present, meeting begins Discussion of New Officer Duties Chairing a committee is defined as being the leader, head of a group. Officers can appoint anyone to complete tasks or oversee projects. That officer is ultimately responsible for completion of project. Wording of job descriptions further detailed Parks and Rec. meetings to be attended by Public Relations Officer and Vice- President a minimum of once per month. Vice-President responsible to inform EC of city P&R meetings and publish those dates in newsletter. VP will appoint youth liaison chair Treasurer position changed to Financial Officer PR responsible for new player packs for FDA KR has this year's packs almost completed. They will be distributed among EC members. Three practice minimum for new players to receive pack. Two-year term limits set on officers holding any single officer's position. Officer can be elected to a new position on the board, but cannot hold any EC position for more than a two-year term. FDA membership dues All agree- $10 FDA dues per year per member. Due prior to Winter League Finals Tournament Day. Members can't play in any FDA sponsored event until dues are paid. All members owe $10 for year 2000 dues. These are to be collected prior to Dan Gabor Tournament this year. Fees per year to be collected by FDA: $10 FDA membership $10 Winter League $10 Summer League Members will be sent a notice at beginning of year to notify them of fee dues. TP wants a liaison with college club. More communication b/n college and FDA JE suggests Joel or Daniel as liaison JE points out utilization of University resources for as much as possible Calendar for next 6 months to be published in April 1st newsletter. All officers must submit entries to TP in one week. Public Relations Officer TP will publish a newsletter every two months. Apr., June, Aug, Oct, Dec. on the 1st of each month. KR requests a form press release letter to be in FDA folder from TP Logo, letterhead, and business cards to be made by TP for FDA and individual officers April and October newsletters will include a phone list Fayettevilleultimate.com will host email addresses for each officer. Elementary schools PE teachers TP- Trey Marley will provide video and a TV set at Springfest booth Press release and booth info: Min. of 120 discs to elem. Schools Cost of ultimate frisbee education Fish submitted a proposal to give the FDA his vending equip. for Springfest. Cost supplies to run the equip. totaling less than $400 plus booth space. EC agrees to accept offer. Projected profit- $1000 to $2500 We need volunteers from FDA to run vending services. Publish request in newsletter. FDA will order 300 discs for Springfest. TP will handle transaction with Discraft. TP will make a general FDA design for the discs. To be approved by EC before submission to Discraft. TP to coordinate the design and construction of the FDA's booth TP to submit detailed proposal of Ultimathon for fundraiser Tournament Director JE hands JF UPA Sanctioned Insurance Program (SIP) Promote FDA participation in Tulsa Spring League Dan Gabor Verification of preliminary status for co-ed celebration qualifier JE reads letter from the series describing its' purpose and rules or guidelines Wayne (DGMSST Tournament Director) update submitted by JE Asbell fields approved by city Paid for by Jose's April 5th – Disc Design submissions will be voted on at EC meeting Janie heads Disc Design Committee Donations needed for raffle items JE or Wayne can appoint a chair to head the Donations Committee Read rules of Dan Gabor Memorial Tournament as to date Committee taking ideas for interesting rules from FDA member and especially rules submitted from teams that will be attending. TP will publish this information in April 1 newsletter Vice-President Dates for Adopt-a-Park cleanup by newsletter AE-tree planting at Walker Park. She will talk to Fran about the subject and inform JF. Last year this project counted for one park cleanup day Check for adopt a park sign Future skateboard park at Walker Park Issue City is not supposed to further expand BMX Park until we have been satiated. JF to get dates of this city meeting where the promise was made. Meeting notes JF to ask city to protect our playing fields at Walker from big equip. No more than minor repairs to be applied to Marshalltown Tools. Appoint researcher to find out about Parkland behind Marshalltown. Financial Officer AE will ask Carey Arsaga to speak to group. He is a city mayoral candidate. TP suggests meeting be on the hillside at Walker Park (hippie) Female observers needed in Tulsa, 4th weekend of April AE will make charts of past Harvest bills Winter League sponsors to be given 2 shirts each.
