Executive Meeting minutes 10/02/02

Call to order @ 8:20 p.m., Tiny Tim¹s Pizza / West Mt. Brewery
Approval of minutes from 07/17/02 EC meeting - passed unanimously

Treasurer¹s Report - Biter -
Current balance - Just under $7,000. Still have kids triathlon to incorporate.
Fundraisers -
Youth Triathlon - Amy E. making directors notes for next year. Made approximately 1,500 to 1,700. Lots of thank you e-mails and calls from parents.
Art Show -
Memberships - Motion to open FDA memberships to anyone including non ultimate players.
Passed 3-1 (Bitler opposed)

VP Report - Lance -
Adopt - a - park projects - Trying to schedule a work day for Sunday, November 24th at 1:00 p.m.
Marshalltown Project - Mow field for camping for Harvest 12. Need to begin working with dirt asap for after Harvest.
Practice fields - Practice will be at Whiter River baseball fields during the winter. 10 a.m. on Sundays and 6:00 p.m. on Tuesdays and Thursdays. Lance checking on set rate for light fees.

Tournament Coordinators Report - Bygod -
Dan Gabor - Wayne to contact Dr. Zac and find out a good time to present check.
Summer league - All is done. No hitches except all-star game wasn¹t exactly what was planned, but will work on that next year.
Harvest Moon -
Discs - ordered, to be delivered to Tiny Tim¹s. Total 500 ($2772): 200 white, 200 blur, 100 glow.
Cups - Will looking into cost of 500 units and will find sponsor to pay for half.
Volunteers - Still need positions to be filled.
Marshalltown - Mow field for camping.
Party - Secured at George¹s. Bands secured. Beer secured. Pablo to emcee. Motion to give costume contest winner $50. Passed unanimously.
Fields - Stonebridge will be location, all teams excluding 15 college teams there. Joy to get portable lights
Food - Amy E. to contact Mrs. Watson & check on grill. Schmuecker providing salad.
Program - Beth Claggett collecting ads and organizing.
Port-O-potties - Getting six delivered friday afternoon by Potty House.
Trophies - wood has been received and delivered to Steve Bee at Creative Awards. Wayne to get artwork there. Bitler made motion not to give entry fee back for tourney champs.
Passed unanimously.
Motion made to wave Fayetteville High School¹s entry fee.
Passed unanimously.

Public Relations Report - Wayne -
Newsletter - Latest newsletter has been mailed. One more to go just before elections.
Web site - BWB has new server and wants to host web page, tabled till contract with Ark.net is closer to expiring (March 2003)


Old business
Christmas party - Jon Bitler to organize. Next general meeting will be during party. Daniel Marsh wants to do video/picture show with prizes (?).
Engine & pump - Still trying to sell engine and pump.
Dan Gabor O03 - Masters tourney on sunday? (tabled)


New Business
Motion made to send appropriate donation in memory of Daniel Marsh¹s mother.
Passed unanimously. Amy E. to take care of.
Motion made to make donation to Bob Gray scholarship fund.
Passed unanimously.
