Executive Meeting minutes 4/3/2002

Call to order - 04/03/02 @ 6:05 p.m., Tiny Tim's Pizza / West Mt. Brewery
Approval of agenda for 04/ 03/ 02 EC meeting - passed unanimously Approval of minutes from 02/ 27/ 02 EC meeting - passed unanimously

Treasurer's Report - Bitler -
Current balance is $7,348.53 in the checking and 1,943.30 in the savings, 2001 Dan Gabor yet to be cashed.
Kid's triathlon fundraiser- Visited by Chip Dickenson, the previous race director of "Ironkids" for previous years.

Fayetteville Kids Triathlon Overview-
2002 will be fourth year for the race, it has always been hosted by the Fayetteville Athletic Club.
First year attendance =83 kids, second = 110, third = 123 (capped at 150 max., ages 7-14)

Objectives: Introduce kids to triathlons in a fun and save environment

Advance planning required can be done with a core committee of 4-5 people
Establish race date (avoid conflicts ie. ultimate, other kids tris, adult tris, football games)
Fundraiser - bike donated from Lewis/Clark, get door prizes
entry forms and publicize
get insurance - USA triathlon ($ one million dollar policy is $105)
Street lane closure and police support - close parking lot and one lane of Zion rd. for two hours.

Volunteers needed for race day approx. 50-60 total
RAC swim coach: pool (8)
Tri sport club: Course set-up, bike course marking / monitoring (20-25)
FDA : run course, traffic control, food, registration (25)

Date conflicts
Conway Spring tri - September 15th (about twenty tri-sport members participate) kids triathlons
Conway kids tri: August 10th, Little Rock kids tri- to be announced (usually in August)
Football: Ark v. Boise state in fayetteville, September 7th, 6 pm

VP Report - Lance -
Adopt - a - park projects: clean up recap - everything ready to go for 9:30 am, the city wants a flower garden in a horseshoe pattern. There were 20 people at the trash pickup.
City fields request for the future are to set up the Hidden Valley ( goat fields) for DGMSSUT '02 and to make sure we have Walker reserved late enough on tuesday and thursday.
Marshalltown Project - Lance suggests we sell the engine and pump since we now have a tractor to run a pump. We can also talk to the city about getting electricity from the abandoned house. Need to get water to the most southern fields. 1,2,3 need to be disced and planted.

Tournament Coordinators Report - Bygod -
DGMSSUT '02 - Wayne needs disc design ideas to be in by April 13th. George's is the party place, band still to be announced.
Summer league - Six teams total, beginning on June 18th to August 20th. Single games on Tuesdays, games to 21. Tournament on August 24th. JB to begin working on the shirts and design. Daniel Smith to give it another shot at captaining, he's all Will has at this point.
Harvest Moon - Will looking for party coordinator. Denied by Dickson theater. Need to put Harvest on the UPA register. Need to contact past teams about returning via e-mail or phone.

Public Relations Report - Wayne -
Newsletter - Articles due March 1st, newsletter mailed March 4th.
Web site - DGS7 section updated, 3 teams so far.
Springfest - Wayne to talk to Cindy about having booth directly infront of George's. Ben said we can sell burgers and dogs and if we need electricity it will be available. Agreed to allow college team to sell merchandise along with FDA discs.
Insurance on tractor - need insurance for value of loan, looking into insurance agents.
