TOURNAMENT DIRECTOR

Confirm field space
Get artwork for discs.
Order discs 6-8 weeks out.
Arrange for Trophies with Sam Dodd, Jr.
Collect tournament fees
-Give to Treasurer
Determine tournament structure
-There should be a Tournament Director for each division at Harvest
(Only one director is needed at Dan Gabor Memorial)
Set brackets for teams in advance
-Put into program
-Adjust at Captain's meeting day of tournament
Assemble player packs before tournament
-Distribute packs at Captain's meeting
-Include maps, programs, freebies, hotel information, discs, and party info. etc.
Send information (maps, tourney structure, etc) to teams as soon as they express interest
-Entry form
Set rules for tourney
-Enforce rules at tourney
-Print in the program
-(Ex: Brick Rule, Time-outs, ties, time cap, player eligibility, KC rule)
Work with Field Chairperson
-Assign fields to pools
-Include field map in program
Work with Video people to put them in the right locations
Work with Merchandise people
-Find volunteer or hire someone to sell merchandise during tournament
-Make sure merchandise is delivered to Frisbee Central
-Organize a "Lost & Found" system @ Frisbee Central
-Return unsold merchandise to FDA
Direct Captain's Meeting
DIRECT ACTIVITIES DURING TOURNAMENT
-Use horn to keep games on schedule
-Collect scores {teams should report scores after each round}
-Present trophies to winners

FIELD CHAIRMAN CHECKLIST

Gather all field markers
-Make sure we have enough (purchase if needed)
Inspect playing area as soon as possible to determine what needs to be done
Organize a team of volunteers to do necessary maintenance/improvements
Arrange for mowing of fields
-Meet and pay the mowers
Organize for the week before tournament
-Raking
-Lining
fields
-Putting cones on all fields
Work with Tournament Director(s) to make map of fields
-Determine which teams will play where
Arrange for Porta-Potties to provide services
-Meet, direct, & pay the service
-Need at least 2 for Harvest for both days
Work with the Trash Boss to keep fields clean
Work with the Water People to keep water available
Collect cones/ markers
-Give back to owners
-Return all FDA items to proper place
Inspect fields after event to be sure we left it properly
Make sure there are tables and tents for Frisbee Central
-FDA owns one tent

PARTY CHAIRMAN CHECKLIST

Find Party Place
-Work with FDA to negotiate price
-Document agreement & FDA liability for damages
-Pay for rental of space (with check from Treasurer)
Music
-Arrange for at least two bands within budget
-Coordinate bands
-Get Bands information EARLY!
-Pay bands (with check from Treasurer)
Beer
-Work with FDA to find best deal on beer
-10–15 kegs for Harvest (2 for Dan Gabor)
-Supervise delivery of beer to party location
-Supervise volunteers (if no bartenders) to dispense beer
-Keep it COLD!
-Drink one dry before tapping another
-Monitor how many kegs are consumed
-Arrange for empty kegs to be returned
Tickets/Flyers
-Get design from Art folks
-Distribute tickets/flyers to public prior to party
Coordinate Prize/Raffle Donations
-Give them all away
-Make sure the business are thanked on stage & in program
Coordinate Door Rotation
-Ultimate players take money & check ID's at door
Coordinate Party Activities
-Arrange for someone to "M.C."
-Give away prizes
-Sell raffle tickets
-Make announcements
-Direct costume Contest
-5 Judges = 4 not from Fayetteville

FOOD, WATER & BEER CHECKLIST

FOOD
-Pick up donated pasta & sauce
-Deliver to caterer
-Give map to fields and time information to caterer

Coordinate food donations for players @ Frisbee Central
-Bagels
-Oranges
-Bananas
-Arrange for distribution at tournament
-Make sure thanks are given in program

WATER
-Gather as many water jugs/coolers/containers as we have fields
-Fill water containers and place one per filed
-Arrange for the teams to get their water refilled by shuttle or more full containers


BEER
-Keep the kegs COLD!
-Bring 1 keg to Saturday beer relays
--Keep keg COLD! Return on Sunday
Bring 2 kegs for Sunday beer
--Keep the kegs COLD! Return empty kegs
-Coordinate delivery of party kegs to party location
-Track number of kegs consumed
-Work with Party Person on beer distribution

Recommended allowances per team:
Bananas 40# box: per 3-5 teams + 1 box

  • 11 boxes =Teams 50/5 + 1
    Oranges 88 count 30# box: per 6 teams
  • 8 Boxes = Teams 50/6
    Apples: 1# per 3 team
  • 16# = Teams 50/3
    Bagels: 1 Dozen per team per DAY
  • 85 dozen = Teams (50 + 35)
    Water: 3 to 6 Gal. per Team per DAY
  • 500 Gallons = Teams 50*2*5

    PROGRAM CHAIRMAN CHECKLIST

    Coordinate ad sales
    -Distribute forms to ad sellers
    -Make sure business are asked only once
    -Collect ad art/information for programs
    Obtain a map of fields (from T.D. or Fields Chairman)
    Include a map of city with hotel & party locations
    -Include sponsors on map
    Collect team biographies
    -Write bios for those not collected
    Layout artwork
    -Include tourney brackets
    -Put in some "fun" stuff
    Have program printed
    -Deliver programs to Player Pack Person
    -Have programs available at fields
    Complete program 1 week in advance of tournament
    Print Flyers and invitations to party with matching artwork
    Print tickets to party
